We are recruiting for a highly organised and friendly individual to join our team as a Centre Administrator on a 12 month Fixed Term Part Time basis for 15 hours per week (across three days) at our YMCA Springfield Lakes Community Centre.
About the role
This role supports the day-to-day operations of the Community Centre through a variety of administrative, reception and customer service duties. Working under the guidance of the Centre Manager, the successful candidate will help ensure the centre runs smoothly by supporting staff, community members, program participants and hirers. The ideal candidate will be organised, approachable, and enjoy working in a community-focused environment where no two days are the same. This position is well suited to someone who enjoys building relationships, managing multiple tasks, and contributing to a welcoming and well-run community space.
Key Responsibilities
- Provide reception and administrative support including answering phone calls, responding to emails and greeting visitors to the centre
- Assist with bookings and room hire enquiries using centre systems
- Support day-to-day administrative tasks including filing, scanning, record keeping and data entry
- Assist with financial administration tasks such as receipting, processing invoices and following up payments as directed
- Conduct hirer inductions and assist with orientation processes for centre users
- Set up and rearrange rooms and equipment for programs, meetings and community activities
- Maintain accurate records including visitor registers, incident reports and administrative documentation
- Support communication with staff, volunteers, community groups and external stakeholders
- Assist with maintaining the centre’s Facebook page and internal promotional materials
- Help ensure the centre operates in line with YMCA policies, procedures and workplace health and safety requirements
- Provide general support to the Centre Manager and wider team as required
About You
- Strong communication and interpersonal skills, with the ability to engage with community members, staff and stakeholders
- Previous experience in administration, reception or customer service roles
- Excellent organisational skills and attention to detail
- Confidence using computers and Microsoft Office programs such as Word, Excel and Outlook
- Ability to manage competing tasks and work both independently and as part of a team
- A commitment to creating welcoming, inclusive and safe environments for the community
- First Aid and CPR certification, or willingness to obtain
- A current Blue Card and Police Check or willingness to obtain
