The YMCA Vocational School is a multi-campus educational community based in Logan, North Lakes, Redlands, Ipswich and Acacia Ridge. The School is a Special Assistance School offering alternative schooling programs to assist disengaged students in having the opportunity to reach their full potential through positive educational studies, activities and outcomes. 

 

We are now recruiting for an Administration Coordinator to join our dedicated and supportive multi-disciplinary team on a permanent part-time basis at the YMCA Vocational School Senior Moreton Bay Campus 

ABOUT THE ROLE

 

The Administration Coordinator – Wellbeing, is responsible for providing support across our school sites. In this position, you will support the Wellbeing Team to coordinate, collate and submit comprehensive documentation and provide a range of administration support. 

 

Responsibilities include (but are not limited to):

  • Provide personal assistance and administrative support to the Wellbeing Services Manager and other YMCA staff members as required;
  • Provide a high level of project and technical support to the Wellbeing Services Manager, counsellors and school staff;
  • Undertake process analysis resulting in Standard Operating Procedure (SOP) and Policy development, communication and roll out;
  • Prepare and execute government submissions; 
  • Support all sites with appointment scheduling, collating documentation, follow-up and reporting case progress;
  • Coordinate students with a Disability (SWD), verification documentation, ensure accuracy and completion before submission;
  • Conduct regular audits of internal school documentation, particularly the appropriate application of NCCD adjustments and related requirements; 
  • Monitor wellbeing services team accounts payable and receivable;
  • Receive and document customer complaints and issues and resolve these or escalate if required.
     

Selection Criteria

The ideal applicant will be looking for a challenge, have a passion for working with young people and a strong interest in the development of the holistic person. You will also be able to meet the following selection criteria: 

  • Minimum education level of a Certificate III in Business/Disability or equivalent and/or extensive experience in a similar role
  • Excellent organisational skills with the ability to prioritise, meet deadlines, work well under pressure and effectively manage communications and information
  • Excellent interpersonal and communication skills (written and verbal) with the ability to maintain a calm, pleasant and respectful manner and deal with a diverse range of people, in particular to respond to people with respect and sensitivity
  • Previous experience interpreting Nationally Consistent Collection of Data for Students with a Disability (NCCD) legislation
  • Previous experience interpreting Students with a Disability (SWD) legislation
  • Demonstrated ability to exercise initiative, solve problems and seek counsel where appropriate
  • Demonstrated high level of competence in the use of computers and application software packages including Microsoft Office Suite skills (Word, Excel, Outlook, PowerPoint)
  • A positive attitude that is responsive, respectful, inclusive and enthusiastic
  • First Aid and CPR qualification;
  • Positive Notice Blue Card; or willingness to obtain
